Online Business Manager

We at Intelle Coaching Solutions, LLC are looking to hire our next dedicated Online Business Manager. This team member will be a critical player in helping to achieve our mission of catapulting women leaders to the top of their corporate careers. The primary focus of this role is to execute the daily operational and technical systems required to run our organization seamlessly.

Your time will be predominantly distributed across a few areas including: CRM Management, Social Media / Content Creation, Podcast Management, Billing & Finance reports, Client Support, Ads & Funnel Management & Sales support.

This role is fast-paced and requires someone highly comfortable with technology, thrives on the rapid nature of a hyper-growth startup, and is highly flexible and agile.

Key Responsibilities

Be the single point of contact for implementing all things tech-related and operations-related inside our company.

CRM MANAGEMENT

  • Must be extremely proficient in creating and updating Go High-Level automation, sequences, email broadcasts, offers, integrations, tags, pipelines, calendars, inbox management, etc.

  • Must be comfortable creating and running large reports ; (growth, lead source, time to close, etc) and identifying opportunities for our sales teams

  • Create and deploy surveys

    LAUNCH MANAGEMENT

  • Create and manage the entire back-end process related to our CYC Bootcamp (launch) including but not limited to:

  • Zoom webinar, polls, email sequences, reminder emails, and texts; managing other panelists and attendees; tracking leads for viability and reporting on attendance and participation; calendar management for consults; responding to all inquiries from leads; ensuring timely onboarding of all new clients.

    SOCIAL MEDIA & CONTENT MANAGEMENT

    Using Instagram, Facebook, Linkedin

  • Organically grow our following with ideal prospects

  • Respond to all incoming messages or comments on our content

  • Engage on like-minded content from others

  • Create social media content leveraging our podcasts and other long-form content - graphics, reels, posts, images, etc. Post according to our schedule.

  • Create 1-2 min video snippets from our longer live streams, including headings, subtitles, and music.

  • Manage all created content in a content bank

  • Repurpose all content - for example - live video to written text, audiogram clips, IG graphics, etc

  • Plan all content out for a rolling 4 weeks

  • Report on content performance weekly

    PODCAST CREATION AND MANAGEMENT

  • Manage the entire process -

  • Download and upload to YouTube, Leadpages & Website Blog

  • Transcribe

  • Upload to Libsyn for Apple and Spotify

  • Report on podcast performance weekly

  • Podcast Guest Pitching / Strategic Partnerships / Speaking events

  • Identify podcasts with similar audiences as ours

  • Pitch Stella as a guest

  • Schedule

  • Track and report

  • Identify and orchestrate other opportunities to partner with other business leaders

  • Identify and pitch speaking events

    BILLING

  • Confirm cash collected daily

  • Follow-up messages for defaults or card failures

  • Update client payment methods as needed

  • Generate aging reports

  • Create and implement process for managing commission payouts for our Sales Team

    SOP

  • Update SOP every week

  • Create training videos on new processes

Minimum Requirements

At least 3 years as an OBM in a high growth startup. Experience in a $1M+ online coaching company is a plus.

  • Must “own your desk”. For us, this means total accountability. If you are assigned a topic, you are responsible for managing the process, end to end. This requires both “thinking” and “doing”. 

  • Must be able to receive high-level direction from CEO and teams on varying topics, keep organized, and execute flawlessly.

  • .Must be dependable and reliable. If you say you’ll complete something by a certain time, we fully expect you to.

  • Must thrive in a numbers-driven, fast-paced environment. We discuss our numbers daily, and you are expected to know your goals, current status, and your plan to close any gaps.

  • Must be able to maintain a professional, camera-ready presence at all times.

  • Must be a sound communicator - clear, succinct and polished.

  • Must be able to thrive in a startup environment - We are building the plane as we fly it!
